Maritime Festival

September 20 & 21, 2025

Thank you for your interest in applying to be a vendor at the Annual East End Maritime Festival.

Hosted by East End Seaport Museum & Marine Foundation (EESM), the Festival benefits educational programs, museum offerings, and the preservation Long Beach Bar (Bug) Light.

VENDOR REQUIREMENTS

APPLICATION PROCESS, FEES & DEADLINE 

APPLICATION DEADLINE: Priority Acceptance. August 31, 2025

• Completed application must be submitted with full payment and non-refundable

$20 application fee. Applications submitted without payment are not considered complete and acceptance will go to complete applications first.

• Acceptance is limited by availability of space and product category and is assigned on a "FIRST RECEIVED" basis.

• Vendors must be handcrafted, unique and/or of Nautical theme. This year some mass-produced products will be accepted on a first come with all paperwork complete basis..

• Once an application is complete, applicants will receive notice of acceptance or rejection within 3 weeks.

• Rejected applications will be issued a refund for the space fee.

• After Aug 31, vendors may be accepted if space and type permits.

No refunds will be issued for vendor cancellation. 

 

All applicants must: 

• Provide a certificate of liability insurance. The Village of Greenport requires our vendors to provide us with a copy of their liability insurance naming two additional insured parties:  East End Seaport Museum & Marine Foundation AND Village of Greenport. If you need assistance with this, please let us know.

• Supply photographs of merchandise to be displayed.
 (If you have participated before and your setup has not changed, no photos are needed. However, it may be to your benefit to supply new photos for marketing purposes.)

• Provide a detailed merchandise description on the application. 

• Provide your Taxpayer ID number per New York State requirements.

Please note: 

  • EESM reserves the right to select vendors/exhibits based on conformance/propriety with the Festival.

  • EESM reserves the right to place vendors in spots based on prior attendance and participation. Prior spots are not guaranteed due to potential changes in village businesses and other geographic changes (new stores, closed sidewalks, moved planters, new signs, etc)

  • EESM reserves the right to exclude vendors from displaying any items not listed on the application.

  • Vendor agrees to hold East End Seaport Museum and Maritime Foundation, the Village of Greenport, East End Maritime Festival, its employees, directors, and volunteers harmless against possible loss, theft, damage, or acts of God occurring during the Festival.

  • EESM is a 501(c)(3) non-profit charitable organization. All fees paid are considered nonrefundable donations from those vendors accepted.


VENDOR SPACE

• Space size for craft vendors is 10 x 10 feet. All tents must conform to space size. Vendors requiring additional space must purchase 2 spaces. 

• Vendors supply all tables, chairs, and protection from the weather.

• Vendor display may not extend farther than the allotted 10 feet and no further than the white line of the parking spaces. 

• There is no electric hook-up available. No generators are allowed. 

• Specific vendor spaces cannot be reserved. Space assignments are at the discretion of the Festival Committee and may change from year to year. 

• Vendor displays must be set up and broken down each day.  
Setup is 8 am-9 am (cars off the street at 9am). Break down is at 5pm both days. 

•  Each vendor spot is numbered, and Festival staff will be available to help you find your location. Spot #’s are not given out until morning check-in.

• Once accepted into the event – any updated details regarding space, unloading, and parking will be provided one week prior to the festival. 


CANCELLATION No refunds will be issued. No exceptions. 

• If the show must be canceled due to unsafe weather conditions, COVID-19 restrictions, or force majeure conditions beyond our control, no refunds will be made.

• Cancellation of the show is at the sole discretion of the Maritime Festival Committee and such decision will be final. 

• Fees will not be applied to subsequent shows. 

 

PARKING 

Vendors are required to unload and move vehicles from the Festival area (Front and Main Streets or any street used as vendor locations.) by 9:30 a.m. to park in a lot or on a side road. We know this may be inconvenient, but a large turnout is expected. There is no designated vendor parking area but municipal spaces are available for parking near the craft fair area so check in early. Parking is on a first-come, first-served basis, so we recommend unloading and parking as early as possible.

 

IMPORTANT INFORMATION 

• East End Seaport Museum and Marine Foundation does not assume responsibility for any lost, stolen, or damaged goods.

• The Maritime Festival Committee reserves the right to ask any vendor who has misrepresented items for sale to leave and forfeit the registration fee.

• Merchants may not change spot locations at will. They must remain in their assigned spaces and communication regarding spaces is only valid with the current festival organizers.

• LODGING – local accommodations book up early in the year due to the high attendance at our event. We recommend booking early as well!
